Writing That Works; How to Communicate Effectively In Business

1. There is No Sugar Coating

I am a straight shooter here and will tell you exactly like I see it, using the full benefit of my honest approach and gained experience.

2. Support Team & Resources

I have built my existing business with a lot of good resources behind it and you will have access to this and my team to help you get going really FAST! It’s entirely up to you whether you would like to make your own arrangements to have your creative and technical requirements met, but I want you to know that this course is not me telling you to go and do something and then not providing the support you need to get it done. I don’t expect you to learn anything new or technical in order to start your business.

3. Quality Instead of Quantity

The course is very user friendly, we have a intuitive interface, step-by-step instructions, nothing complicated. The one thing I don’t want to do is overwhelm you with unnecessary “Padding”. By this I mean a whole bunch of bonus offers and free stuff to make the course appear to be more “Valuable” – it’s a sales tactic I am not going to use. There is nothing more valuable to you right now than the experience and expertise which I am going to pass on and my very carefully (cherry-picked) selected resources and tools (Yes, of course there are bonuses – but only freakin’ awesome ones which are essential to your business development and self-improvement) which I will provide in the members area. Remember, it’s all about quality and not quantity.

I want you to start doing business and earning money as soon as possible, I don’t want to overwhelm you with information which is going to confuse or put the brakes on your progress.

4. I Am Not Your Average VA

This has been a long road for me in my business and I’ve experienced a lot while building a VA business from the ground up, but I’ve also been able to learn a lot from travelling, going to different places, operating my business in a whole host of difficult situations, coming up with ways to creatively limit my tax liabilities, having two children along the way and in short, facing down a number of problems since this journey began; I am really grateful that I have been able to come up with some unusual and creative ways to overcome everything. You can be sure that this experience classifies me as anything but an average Virtual Assistant.

5. It’s Not Bland or Boring

Do you get passionate about anything? Religious activities, a certain kind of sport, rock music?

If you do, you know that whenever you have a passion for something in your life it never represents a boring or mundane activity and you always have enthusiasm for it, even though others may not. Well, this is my passion, and I took my passion, and I decided to turn it into a business and a way of making money. There is nothing more fulfilling than doing what you love to do and getting paid for it. This is my way of telling you that this is not just a job, or a way to make some additional money alongside my existing VA business. So, ask yourself if you really want to do this, how enthusiastic you really are and if you want to be a virtual assistant and translate your love for whatever it is into a business that makes profits, where your daily life has some spice to it; jump on board and I will do anything it takes to help you get to where you want to be.

No frills, no hype, just you, me and a mission to make your VA business a resounding success. So whether you’re looking to become a virtual assistant now, looking to become a virtual assistant in the future, or you’ve already become a virtual assistant, please come by for a visit to meet up with like-minded individuals – and you never know, you could win a chance at changing your business and lifestyle, forever!

So there you have it, these are just 5 reasons which are going to make my programme somewhat different to the others, and if you feel that I am the person to help you, then I want to give you one of my 5 FREE launch memberships to get you there.

So to the FREE membership…

In your own words and as creatively as possible, leave a comment beneath this, telling me why you want to join the Virtual Assistant Training Program; I will forward a FREE e-book to you if you choose this option. You can always send me a private e-mail as well, at info@virtualassistant-live.com.

There are many ways to get others to link to your website but the most successful require effort on your part. As links are considered one to be increasingly valuable, bloggers will no longer give you links just out of courtesy. Building relationships with individuals in targeted niches and your readers is essential.

Here are some valuable tips to consider when building links to your site:

Writing That Works; How to Communicate Effectively In Business

• You have to ask. This may sound overly simple but providing a “Link to Us” page on your site with a few buttons and text descriptions can garner new links to your site. At the end of every post or page, encourage visitors to add a link to your site. Not only does it never hurt to ask, sometimes it gets you exactly what you want!

• Build a rapport and relationship with others in your niche. You might find that an authority or a “guru” will link back to you, just because of this.

• Be a list builder. Lists are the most popular “101 Ways to…,” “10 Tips for…,” “Top 10…,” “5 Myths About…,” etc. are always good for attracting links. They’re typically quick-reads, filled with helpful information, and can make you an “authority” in your field while getting others to link to your site.

• Build a source of authority or a “black book” online, with resources related to your field of activity. Experts in the field, celebrities that are interested in your topic, resource sites and authoritative information are always good for a backlink.

• Find out what the top 10 article directories are at Alexa and then write articles and submit them, as well as to other sites that like articles in your subject area.

• Contact bloggers in your niche who have large followings and offer them original guest posts on a topic that fits their blogs—with a live link to your website, of course.

• Become the “go-to” person for whatever it is you do. Jimmy Brown is known as “the” PLR guru because he, in essence, invented PLR. You can do the same thing in your niche and people will fall all over themselves to post a link to your website on their site or blog. In this kind of an environment, a virtual assistant can thrive, generating incredible numbers of potential long term contacts for your business.

• Tell all your family members and friends about a new article on your site or a new resource, asking them to link to it if they would be so good.

• Write articles or blog posts about companies that post links to company news on their sites. Visit the corporate website and look for “media” links or “in the news” and you’ll discover backlinks to anything written about that company online. Many large companies have alerts set up specifically to locate such articles and blog posts so they can link to them.

• Consider DMOZ and other free directories, which are great for establishing links to your site. Directory links add up and you can spend an afternoon submitting your site and acquire several links in no time at all.

• Don’t forget your local area when you establish links. Submit your site to local websites, directories, organizations, etc. Find groups that establish lists of their member sites. Sponsor contests that give links to your site. All in all, do everything you can think of to build backlinks to your site. And to take advantage of this quickly, seriously consider taking on a virtual assistant, or even several virtual assistants as part of a team to maximise your efforts in a very short span of time.

Receiving quality backlinks takes time and effort on your part but it is well worth the initial effort. Imagine how many new visitors and readers you could obtain with each additional backlink you receive.

If you are developing a location online to offer appointments and calls with potential clients, you have a couple of solutions available to you:

Option #1: A Consultation

Now a full consultation can be a very comprehensive process, and when I have a potential client book a consultation, I will send them an email which covers a series of questions, or actions I would like them to take or think about before the call. This tends to be a little bit on the formal side and I make sure that I am in control when I am conversing with them on the call.

In short, I find that consultations have been for people where they have read about virtual assistant services, or have an idea of what they are and how they can use them, but it’s not entirely clear, and we have to go through a process of discovering what I am able to do for them. This is definitely a learning experience for the client and also opens him up to other services as well, leaving the door wide open for their suggestions.

On consultation calls I only ever give standard rates out on the phone, everything else from bitty project work to packages I always confirm on email with an estimate. Now, when they come back several weeks later as some do, the official estimate is documented, together with its expiry date and it is all neat and tidy as part of this formal quote procedure.

Option #2: Request A Callback

This option is for people who know what they want specifically, and will ask you about it. I’m going to show you how this all pans out during a Live Video Recording, but remember that it’s very raw and in tune with what VA –LIVE is about — keeping it real! This type of call is informal and you’re able to quickly get up to speed with the potential customer as you talk to them and I tend to like this type of call because most of the time they know what they want and just want to talk about your rates, so you’re able to get everything across on the phone rather quickly and then follow up with an e-mail.

I go over how each of these scenarios is handled, comprehensively and in-depth during my training course, which will be released shortly.

In the meantime, I would like to talk to you about these two methods of virtually meeting with prospects.

Get Out Of The Conversation What You Need To From The Potential Client.

Make sure if there is anything that springs to mind about what they are asking for and how they want it done – Ask. It’s quite possible that you would be the perfect fit together, but you never know and you need to find out as much as you can at this stage to find out how you feel about working with them.

The Biggest Clients Come From The Smallest Things.

One of the first clients I ever took on wanted 4 hours admin a week. He sounded lovely on the phone, and of course I took it. This gentleman is still with me at this time and those four hours have expanded into a part-time situation and this continues to increase, as well. We are also exploring other possibilities of working together. Therefore, unless you have a particularly bad feeling about somebody or think that you might not be a good fit together, never turn anything away.

I have turned away clients before based on gut instinct. If you don’t listen to your inner self, you might become miserable working for these people and end up finding a way to get out of it — in some cases I wish I had avoided all that hassle. Never be tempted to stay with the client just because of the money, even though it makes you unhappy, as it will have a detrimental effect on all of your business, believe me!

Make Sure That the “Request a Callback” Is Very Straightforward.

When someone does request a callback about a specific services from virtual assistants, keep it simple. This is not a time for upselling, but just providing a solution that they’re looking for and you can follow-up later. Suggesting too many options at this point or a variety of services that they are not aware of, could lead to them becoming overwhelmed. I do often drop in other services which may compliment what they are asking about, or if I know they will need an additional service in order for us to provide support for what they are asking for then I will tell them. But If someone wants diary management, I don’t go into web design – only if it’s a full consultation and we are reviewing what’s available.

Stay on-point, keep it simple, friendly and informal, and your virtual assistance business will reach new heights.

By now, you should be convinced that video is not only critical, but doable! (If not, keep rereading this until you are convinced.) Along the way, though, you may run into a few problems. If you find any of these obstacles in your way, here are a few ideas to help:

1. Poor sound quality. If your sound is picking up too much background noise, or if your voice simply isn’t loud enough, you’ll need to make some changes. First, check the settings on your camera. Sometimes you can change the microphone/audio setting to make it more sensitive. If not, or if moving closer to the mic doesn’t work, you might need to buy a lapel microphone, or one that will simply sit on the table in front of you.

If you build links with Facebook, you can get new readers to your blog, valuable traffic, more followers or subscribers and boost your SEO because of its value and added link-juice. There are a variety of ways to use Facebook to build links to your website. Here are just a few:

• As with any social networking site, the more friends you have, the more opportunity for links, visitors to your website, and ultimately sales. So “friend” people when they invite you to.

• See if you can find friends by searching via e-mail or name. Go through the friends of your friends and extend an invite to them. It’s all about growing your network. This goes as much for Facebook as it does anywhere else, as you extend your reach and influence.

• You should have a Fan Page for your business and tell everybody about it. Within this Page, have special news, niche related tips, offers, coupons or specials.

• Make sure that your blog is attached to your Facebook page, so your posts will automatically appear on that site as well. You will find that you get a good increase in your blog following, as readers are attracted to your interesting posts.

• Add teasers to articles on your website as a status update on Facebook and encourage your friends to visit to read the entire article. When they read and like, they will link to it.

• Come up with photos that relate to your blog posts or articles and post these on Facebook, together with a link back to the corresponding page on your website, as a teaser.

• Have a link to your site in your profile and make sure that it is in a prominent place on your Facebook page. Don’t assume that everybody, even personal friends or colleagues, know what you do and what you can make available. And to take advantage of this quickly, seriously consider taking on someone looking into a virtual assistant program, or even a team looking into a virtual assistant training to develop their new business, to maximise your efforts in a very short span of time, at a surprisingly low price.

• Put your articles on Facebook and invite your friends to link back. Be sure it’s worthy link bait!

• Since Facebook is often a family meeting place as well as business, friends and acquaintances, you might be surprised at how many people will post a link to your site simply because they know and love you. As always, don’t be afraid to ask to see what happens.

Don’t assume that building links on Facebook is easy, as this is a social site which we shouldn’t forget and most people are looking for fun and interaction and not business. However, it can be a very effective tool and reach many, many people if used right and you keep in mind to be social not salesy. A possible solution, or perhaps – a perfect solution, is to hire someone looking into virtual assistance as a new business, so you can get them working for you at a great price while they gain experience.

When it comes to Facebook, quality content can vary depending on what your niche is and your target audience. But it will almost always include fresh and original content on various aspects of your niche, resources to help those who are looking for what you have to offer and information that website visitors want.

Quality content—the kind that encourages others to link to your website—is relevant to your topic, offers value to your visitors and potential customers, fits within the overall industry of the topic of your site (such as related products or services), and provides value to your site visitors.

As we have said, there is no doubt that “content is king.” You will undoubtedly have to work hard, but if your content is not relevant and well put together, your site will not get the number of backlinks you’re looking for. If your content is poor or sparse, or if you have too many sales pitches within, you will not receive backlinks no matter how hard you try.

We have outlined some successful strategies for giving your visitors great content and pushing your backlinks up:

• Compose original articles. If you like article marketing, put your articles on your own site and ask visitors to link to them, or to reproduce them on their own site with a corresponding link back to yours.

• Purchase and edit PLR content. Private Label Rights (PLR) content is an affordable and effective way to add new content to your site. This is a cost-effective alternative to hiring a writer to compose your articles and reports and you can either use them on your site, or edit them in a specific way according to the audience you are trying to reach, complete with affiliate links if applicable.

• Hire a writer. If you have a very specific niche you can hire a writer (who knows your language well) and who will write original articles for you. The cost can be minimal and well worth it to get the back links to your site.

• Create free forms that your visitors can use. Ask them to link to the forms rather than reposting them, which will create backlinks and draw visitors who may be interested in what you have to offer. This technique can be applied to software, games or puzzles, as well. Anything that your target audience may be interested in can attract visitors and links. To get everything going fast, think really hard about hiring a popular virtual assistant business, or even a specialist virtual assistant to make the most of your project, even with short notice.

• Proofread your site. Check for proper grammar, spelling, sentence structure, etc. It doesn’t have to be perfect because everyone makes mistakes. However, a large number of errors and obvious mistakes are not acceptable, either. To attract as many links as possible, your quality content should be error-free.

• Offer to review products on your site. This is a growing trend among bloggers, in particular. (Look into the disclosure laws first, though.) But be honest. You don’t have to be harsh, but don’t write a glowing review for a product you don’t like—even if you received if free. Become known as the reviewer everyone can trust and you’ll quickly build links to your site by others in your niche. As always, keep in mind that if you’d like this done for you, in a snap, consider checking with some expert virtual assistants for ongoing support.

• Submit your best content to authority sites. Get together the best content that you have and send it to sites such as About.com, or find an Examiner in your niche, soliciting a link back to your relevant page. These authority sites are growing all the time and you will have done well if you get a link from them.

• Continue to add new content. Often online marketers get caught up in the day-to-day operations of Internet Marketing that after awhile they neglect adding new articles or new resources to their sites, thereby letting the site become old and dated. Don’t let that be you!

If you work at this religiously, you will find that the backlinks start to grow and will continue as long as you are active. Creating great quality content is just one of the ways that you can get good links coming back to your site and this method has been proven to be one of the most effective for your link building efforts.

The web has become overloaded with info in current years. Wherever you take a look, you find ads for website templates, various facebook applications, or perhaps someone asking you to visit their blog. It truly is typical place to find all of those ads on the web, but what do the individuals who used your time to tell you with regards to all of those things know that you don’t? Individuals don’t usually promote except there is a way for these people to generate cash from it, so how will you quite possibly create cash by having men and women read your blog? These questions and a lot more will likely be answered here.

A website (or simply blog) is a website that publishes or features posts, which are called ‘blog posts’, ‘posts’, or perhaps ‘entries’, written by an individual or a group which make utilization of any or a combination from the following:

A blog may also possess a footer, normally found at the bottom part of the blog, that displays the post date, the author, the type, and the ’stats’ (the number of feedback or track backs).

You will find numerous varieties of blogs. Several of them are the following:

Blogging is typically done on a typical (practically daily) basis. The term “blogging” refers to the action of authoring, maintaining, or perhaps adding an article for an existing blog, while the term “blogger” refers to a person or a group who retains a blog.

These days, more than 3 million blogs could be found in the internet. This figure is continuously growing, as the accessibility to various blog software, tools, as well as other applications make it easier for almost anyone to update or maintain the particular blog, even all those with very little or perhaps absolutely no technical background.

The following certainly are a number of things that you simply need to think about in the event you need to be successful in professional blogging:

Be diligent. Pro blogging needs plenty of time and energy, along with a long-term vision.

Know your target audience. Focusing on a certain target audience or group is really a key to developing a readership.

Become an expert. Concentrate on a certain area of interest subject and strive to be the “go-to” writer on that subject.

Diversify. Experiment with various add as well as affiliate programs that make it possible for you to generate cash on the web, aside from running a blog.

Do not bore your readers. Concentrate on the design. White spaces, line spacings, and much larger fonts come up with a blog enticing to read.

It is very important to have a first-class customer service plan whenever you set yourself up as a virtual assistant. This will keep existing clients coming back for more, word-of-mouth will spread about how great your service is, and potential new clients will be dazzled from the offset of contacting you.

So, how do we achieve such fantastic customer service? This is what I focus on and is what I call my “Takeaway Coffee Principle!” It sounds a little strange I know, but shortly you will discover what customer service has in common with Starbucks!:

Be Strong

Customer support really does need to be strong. First of all you need to be trustworthy of course, but people have to have a good reason to believe in you, so you have to be very positive, understand what you’re talking about and your business and always do what you say you’re going to do when it comes to service and support. Here is a comment a client made recently about our customer support at Virtual Miss Friday:

“I’m so excited to be working with this team again, thank you. Your work is always first-class and your customer service incomparable.”

Clients need to remember the customer service they receive from you; it’s not enough to just perform tasks well… delivering strong customer service support is paramount to your long term business success, be memorable.

It has to be Black-And-White

Always treat customer service as being “black and white.” Don’t come up with difficult-to-understand clauses or complex jargon, just think Janet and John! Get to the point, keep it simple and straightforward. Explain in detail where you have to, but always keep it simple to understand and easy for the client or customer to digest.

Be Warm

You have to be friendly at all times when dealing with customer service, even in the worst situations when somebody is annoyed or angry. Stay impartial, always start with an opening greeting such as:

“Certainly, I am happy to help you with this.”

Or this…

“I appreciate your questions, let’s look at them each, in turn.”

…and end with a closing statement such as:

“Hopefully, I’ve answered your questions, but if there is something else I can assist you with, please advise.”

Or perhaps…

“Hopefully this helps, but if I can do anything else at all, please get in touch with me right away.”

Be Fast!

Never take longer than 24 to 48 hours at the very most to answer anybody and bear in mind that the sooner you do this the better. If the answer is particularly complicated and you need to request assistance, this is of course fine, but reply immediately and tell the client or customer that this is what you’re doing, and don’t ever leave them hanging, wondering when they will hear from you. An autoresponder system is a good way of ensuring that your customer is informed that you know about the situation and will get back to them.

At the highest level of customer service, you must be consistent as a matter of priority in your business, especially when there are several virtual assistants involved. Set your standards, create your templates – and hold to them, without fail. Of course, refinement will come with time in your virtual assistance business, and you’ll adapt to your specific client needs, but keep these principles in mind with every response – you’ll certainly see a difference!

When you are using article marketing, again it’s essential that you identify your audience. While you will find certain article directories on the web to distribute articles free that deals with specific areas, you will find others that are more general. One such directory is ‘Articles base’. What happens here is that you simply can distribute articles free under different categories, from advertising to marketing, to other business related classes. All articles are accompanied by an ‘author box’ which would then direct these readers to more identical content on your own web site, should they wish to read more. This will in turn send more visitors to your web site and is therefore a fantastic way of marketing.

Whenever you distribute articles free, you can also incorporate a direct email address that those who are interested in your item could contact you on. To distribute articles free, all you have to do is to register yourself on one of these directories and you can start right away!

Whenever you distribute articles totally free on such websites always ensure that the article is not just informative but is also well written.
